About this Opportunity

The Technical Administration Officer – Engineering plays an important role in supporting RFDS SA/NT aviation engineering operations, providing high-quality administrative, project, compliance and coordination support across the Engineering function.

Reporting to the Manager Maintenance Operations, NT, this Darwin-based role will support engineering projects and day-to-day operations, coordinate training and compliance records, monitor budgets and expenditure, prepare reports and business documentation, and help maintain effective systems and processes across the department.

Working in a dynamic, safety-focused aviation environment, you will work closely with Engineering leaders, Senior Base Engineers, engineers, pilots, People and Culture, training providers and other internal and external stakeholders. You will have the opportunity to get involved across a broad range of activities, from strategic projects and apprentice development through to compliance reporting, audits, training coordination and continuous improvement.

Key responsibilities include:

  • Provide high-level administrative and project support across the Engineering department, including strategic projects, plans, milestones and key performance indicators.
  • Monitor project progress, coordinate meetings, prepare agendas and minutes, and follow up actions.
  • Prepare high-quality presentations, briefing papers, correspondence, reports, business cases and capital expenditure documentation.
  • Coordinate Engineering training and development activities and monitor associated expenditure against budget.
  • Support the monitoring of apprentice training plans and development, working with Senior Base Engineers, People and Culture and apprenticeship providers.
  • Maintain accurate Engineering staff and competency records, including compliance records in Air Maestro, and support Engineering training modules through LAAMP.
  • Coordinate refresher training requirements with training providers, engineers and pilots, including CASA correspondence where applications are required.
  • Support Engineering audit responses and help ensure identified improvements and changes are reflected in relevant manuals and systems.
  • Track Engineering expenditure against approved budget allocations, including travel, training and capital purchases.
  • Review administrative systems and processes, identify opportunities for improvement and support the implementation of new processes and technology.
  • Maintain the Engineering Support Equipment register and associated maintenance requirement documentation.
  • Provide day-to-day administrative support including shared mailbox management, calendars, meetings, travel, events and research.

About You

You are an experienced and highly organised administration professional who enjoys working in a role where there is plenty happening and no two days are necessarily the same. You can confidently manage competing priorities, keep track of detail and deadlines, and use initiative to work through issues without needing constant direction.

You are comfortable working with senior stakeholders and technical teams and can turn complex information into clear reports, correspondence and practical actions. Just as importantly, you enjoy looking for better ways of doing things and can build strong working relationships across a diverse organisation.

To be successful, you will bring:

  • Demonstrated administrative experience, including developing and improving administrative systems and procedures.
  • Strong organisational skills and the ability to manage competing priorities and deadlines in a dynamic environment.
  • High-level written and verbal communication skills, including experience preparing professional correspondence, reports, minutes and other business documentation.
  • Demonstrated experience providing meeting, event and travel coordination and supporting financial and records management activities.
  • Strong problem-solving and decision-making skills, with the initiative to work independently and with limited direction.
  • Experience implementing process improvements and new technology solutions.
  • Advanced computer skills and demonstrated proficiency across Microsoft Office, including Word, Excel, PowerPoint, email and Outlook calendar applications.
  • The ability to develop collaborative working relationships with people across different roles and levels of an organisation.
  • The ability to handle sensitive information with integrity and confidentiality.
  • A current Australian Driver’s Licence and eligibility to hold an Aviation Security Identification Card (ASIC).

Experience supporting projects, investigations, reviews, data consolidation, analysis or research will be highly regarded, as will an understanding of RFDS and its values and experience working with or in an Aboriginal community. Some travel may be required
